How to Choose the Perfect Wedding Venue

You’re currently in the midst of planning, and after defining your budget, it’s time to start searching for your wedding venue. Choosing the reception venue is one of the most important decisions you’ll make while organizing your wedding. It’s where you’ll create unforgettable memories with your loved ones.

However, finding THE perfect venue can sometimes feel like quite the adventure. Whether it’s a château, a Provençal farmhouse, a Parisian hotel, a lakeside guinguette, or even your family home’s garden, from budget to the style of your day… Here are our 10 tips to help you find the venue of your dreams while avoiding common pitfalls.

1. Define the Region

Before diving into an endless search, start by narrowing down the geographic area. Do you want to marry close to home, in your parents’ region, or in a dream destination like France, for example? “By limiting your search area, you’ll save time and avoid spreading yourself too thin,” explains Paloma. Also, try to choose a venue near accommodations for your guests, especially if some are coming from far away.

2. Consult Your Wedding Planner

A wedding planner can save you valuable time by guiding you from the start. They know the venues and their specifics, from spaces that need transformation to practical details. A good planner can also alert you to aspects you might not have considered, such as a room layout that doesn’t align with your vision. “With our experience, we assist you in finding the ideal venue for your wedding, considering many factors: spaces, setup time, constraints, furniture, accessibility…” says Paloma.

3. Define Your Wedding Style

The reception venue should match the ambiance you want for your wedding. For a romantic, rustic wedding, opt for a nature-filled venue, such as an old farmhouse or a château with a large garden. If you’re dreaming of a modern wedding, consider an art gallery or an urban loft. Choosing a venue that reflects your desired style will help create a cohesive atmosphere for the big day.

4. Set Your Budget

Budget is a key factor in choosing your venue. From the beginning, discuss how much you are willing to invest in this part of your wedding. Keep in mind that some venues include additional services (furniture, lighting, etc.), while others require you to rent everything separately, which can quickly increase costs. Be sure to account for everything to avoid going over budget. “A wedding planner can guide you through this process and help you navigate the various price ranges,” says Paloma. “We know the conditions by heart and have a global view of each venue, what it involves for your budget—it’s a real time and comfort saver.”

5. Know Your Guest Count

The number of guests is crucial when selecting your venue. Before visiting, estimate how many people you want to invite. A space that’s too small could create discomfort, while one that’s too large might feel empty. Also, consider accommodations if you’re planning a multi-day event.

6. Consider Your Guests’ Experience

To ensure a successful wedding, it’s essential that your guests feel comfortable. If many guests are traveling long distances, choose a venue that’s easy to access or close to accommodations. Also, think about the venue layout: the maximum capacity doesn’t always reflect comfort. Ask how many guests can be comfortably accommodated.

7. Beware of Preferred Vendors

Some venues require you to use specific vendors for catering, DJ services, or even florists. If you have a clear vision for these aspects, ensure that the venue allows you to work with your chosen vendors. While the venue is important, the people who will bring your ideas to life are even more so.

8. Keep an Eye on the Season

Will you get married in summer or prefer the cozy atmosphere of winter? The season can greatly impact the cost and availability of venues. Off-season weddings (autumn, winter) often offer more flexibility with dates and better prices. And a winter wedding can be just as magical with warm decor and a fireplace!

9. Anticipate Technical Details

Don’t overlook the technical aspects of your venue. Is the electricity sufficient to handle the lighting, DJ equipment, and catering needs? Can you hang that beautiful string of lights you envisioned? These details may seem minor, but they’re crucial to avoid last-minute surprises. “We had a case where last-minute requests were made, like a giant LED screen right next to a pool, which required significant technical setup and added cost,” Paloma recalls.

10. Stay True to Yourselves

Finally, stay true to your tastes and style. With thousands of images on Pinterest, it’s easy to get influenced by trends that may not suit you. Choose a venue that resonates with your couple and truly reflects who you are. “The most important thing is that you feel good in the place that will host one of the most significant moments of your life,” says Paloma.

Bonus: Check What’s Included

Before signing the contract, make sure you understand what’s included in the venue rental. Some venues include tables, chairs, and other elements, while others require you to arrange everything. “We’re here to help you clarify contracts,” says Paloma.

Choosing your venue is a key step in wedding planning, but with these tips, you’re ready to find the one that will elevate your big day! And remember, “we know that many of you struggle with making a final decision, so we’ve created a decision-making tool to help you choose your dream venue!” Paloma enthuses. “This tool is included in our venue search services.”
